Overview
When managing multiple jobs and other activities, it can be difficult to identify which actions still require attention. The Task feature keeps outstanding tasks visible and provides direct access to the relevant area of the platform.
For screening setup, the Task feature provides a centralized list of jobs that still need a screening template. Instead of reviewing individual jobs to find missing setup, you can manage these tasks from one location.
Why use the Task feature?
The Task feature helps reduce missed setup and follow-up activities by making outstanding actions easier to identify, access, and complete.
The Task System allows you to:
- Review outstanding actions that require attention.
- View jobs that still need a screening template in one place.
- Navigate directly to the area where an action must be completed.
- Reduce the risk of activating screening without the appropriate template.
- Track screening setup tasks as the related jobs change status.
- Access tasks directly from email reminders.
How screening setup tasks work
A screening setup task identifies a job that still needs a screening template.
When you select a screening template:
- The job automatically moves from Draft to Active.
- Candidates who apply after the template is selected are messaged to complete screening.
- The task moves to the Completed tab.
Important: Selecting a screening template activates the job. Confirm that you are ready for the job to move from Draft to Active before completing this action.
Configure screening through the Task feature
- Select the notification bell to open the Task System.
- Review the jobs that require a screening template.
- Select the job you want to configure.
- Select the appropriate screening template for the job.
After you select a template:
- The job moves from Draft to Active.
- The task moves to the Completed tab.
- Candidates who apply from that point forward are messaged to complete screening.
Why use this method?
Use the Task feature when you want to review jobs awaiting screening setup from one centralized location. The task remains visible until the required action is completed or the related job becomes inactive.
Configure screening from the Drafts tab
You can also select a screening template directly from the Drafts subtab within the Jobs tab.
- Open the Jobs tab.
- Open the Drafts subtab.
- Select the draft job you want to configure.
- Select the appropriate screening template.
Why use this method?
Use the Drafts tab when you are already reviewing or managing draft jobs and want to complete screening setup from the Jobs area.
Archive a job that does not require action
If a job does not need a screening template, you can archive the job instead of configuring screening.
Archiving the job:
- Removes the requirement to select a screening template.
- Moves the associated task to the Inactive tab.
- Keeps the job available from the archive area.
- Allows the job to be unarchived later.
After unarchiving a job, you can return to the draft job and select a screening template.
Why archive a job?
Archiving provides a way to clear a screening setup task when the job no longer requires action, while keeping the job available if it is needed again.
Understand task status
The Task feature automatically updates a screening setup task as the related job changes status.
Completed
When a screening template is selected, the task moves to the Completed tab.
Inactive
When the related job is archived or deleted from the Jobs area or by the applicant tracking system, the task moves to the Inactive tab.
These automatic status changes help keep the task list aligned with the current state of each job.
Access a task from an email reminder
Email reminders can include a direct link to an outstanding task. The link takes you to the relevant area so that you can complete the required action without searching across the platform.
To respond to a screening setup reminder:
- Open the email reminder.
- Select the link for the outstanding task.
- Review the job that requires screening setup.
- Select the appropriate screening template.
Expected outcomes
Using the Task feature provides:
- Centralized visibility into outstanding actions.
- Direct access to the area where each task must be completed.
- Better visibility into jobs that still require screening setup.
- A consistent process for selecting screening templates.
- Automatic task tracking as jobs move between statuses.
- A reduced risk of missing important setup or follow-up activities.
