Getting Started As A Hiring Manager

If you're reading this as a Hiring Manager, welcome! You do not need to learn every feature in the Scheduling platform. Most Hiring Managers only interact with a small portion of the system.

Your primary responsibility is helping candidates find interview times that work for both you and your team.

Everything else is handled by the recruiter and the platform itself.

What You'll Be Asked To Do
Throughout the hiring process, Scheduling may ask you to:
  • Approve your availability for upcoming interviews
  • Reschedule interviews when plans change
  • Attend scheduled interviews
  • Provide feedback after interviews are completed
That's it.

You are not expected to create jobs, configure workflows, or manage interview stages.

Getting Connected
If your organization uses Microsoft Teams, you'll likely interact with Scheduling through the Screening & Scheduling Bot.

The bot provides notifications when action is required and allows you to respond quickly without having to constantly monitor the platform.

You should also verify that your calendar and working hours are configured correctly, as these settings directly impact which interview times candidates can see.

Approving Availability
The most common action you'll perform is approving interview availability.

When a recruiter moves candidates into an interview stage, you'll receive a notification requesting available interview times.

After selecting and approving times that work for your schedule, Scheduling takes care of the remaining coordination with the candidate.

Candidates cannot schedule interviews until availability has been approved, so this step is often the most important action you will take.

Managing Scheduled Interviews
Once interviews have been scheduled, calendar invitations are automatically created and distributed.

You'll receive meeting details and can review upcoming interviews either through your calendar or the Scheduling platform.

If plans change, Scheduling provides tools to help update interview timing while keeping candidates informed.

What Happens Next?
Many Hiring Managers want to know what happens after they approve availability.

After approval:
  1. The candidate receives an invitation.
  2. The candidate chooses an interview time.
  3. Calendar invitations are generated.
  4. The interview becomes visible within the scheduling workflow.
In most cases, no further action is needed until it's time to conduct the interview.
