Scheduling is designed to eliminate the manual coordination that typically slows down the interview process. Instead of recruiters exchanging emails with hiring managers, checking calendars, and coordinating candidate availability, Scheduling automates much of this process while still allowing teams to maintain control over interview decisions.
Whether you're a recruiter scheduling dozens of interviews each week or a hiring manager participating in a handful of interviews each month, Scheduling creates a consistent process that keeps everyone aligned and informed.
The platform works by connecting three key groups:
- Talent Acquisition users
- Hiring Managers
- Candidates
Each group has a specific role in the scheduling process, and understanding those roles is the key to a successful experience.
What Scheduling Does
At a high level, Scheduling helps organizations:
- Automate interview scheduling workflows
- Collect and manage interviewer availability
- Allow candidates to self-schedule interviews
- Create and manage calendar invitations
- Send reminders and notifications automatically
- Track interview progress from beginning to end
Rather than manually coordinating every interview, recruiters can move candidates into the appropriate stage and allow the system to guide the process forward.
Important Note: Once interviews are scheduled, all interview changes should be managed through Scheduling.
Do not cancel or reschedule interviews directly from Outlook or Microsoft Teams Calendar. Changes made outside of Scheduling may not sync back to the platform and can create inconsistencies between interview participants, availability requests, and scheduling records. Always use Scheduling to make interview changes.
Who Uses Scheduling?
Talent Acquisition Users
Talent Acquisition users are responsible for setting up jobs, defining interview workflows, assigning hiring managers, and moving candidates through the hiring process.
Most of the day-to-day administration of Scheduling is performed by Talent Acquisition users.
Hiring Managers
Hiring Managers play a much simpler role. Their primary responsibility is approving interview availability and participating in interviews.
In most cases, Hiring Managers spend only a few minutes interacting with Scheduling for each candidate.
Candidates
Candidates receive scheduling invitations and select interview times from the availability approved by the hiring team.
Scheduling keeps candidates informed throughout the process and automatically updates all parties when changes occur.
Before You Begin
Before scheduling your first interview, it is important to make sure your access is set up correctly.
If your organization uses Microsoft Teams, you'll want to ensure you're able to access the Screening & Scheduling Bot and that your calendar connection is working properly. You should also verify that your working hours reflect your actual availability, as these settings influence interview scheduling.
Taking a few minutes to complete your setup now will help avoid common scheduling issues later.
