Group Interviews: Schedule Multiple Candidates in One Session

Group Interviews allow recruiters to efficiently schedule and manage multiple candidates within a single interview session. This feature is designed for high-volume hiring environments where speed, organization, and scalability are critical.

Group Interviews enable you to:
  • Schedule multiple candidates into the same interview session
  • Offer flexible time slots for candidates to choose from
  • Manage multiple group sessions simultaneously
  • Track candidate scheduling statuses in real time
This approach is especially useful for roles requiring large-scale hiring, such as retail, call centers, or new location openings.

Schedule Multiple Candidates in One Session

  • Add multiple candidates to a single interview session

Manage Multiple Group Sessions

Each Group Interview must have a unique name, which allows you to:
  • Run multiple sessions concurrently for the same job
  • Differentiate between candidate groups
  • Maintain organized and structured scheduling workflows

 

Flexible Creation and Approval Flow

When creating a Group Interview:
  • Recruiters can select from available time slots
  • You can choose how availability is approved:
    • Request approval from the hiring manager before scheduling, OR
    • Skip approval and schedule based on available calendar time
After approval (if required):
  • The interview is automatically added to the hiring manager’s calendar
  • Candidates are prompted to select their preferred time slot

 

Candidate Privacy and Anonymized Invites

To support privacy and compliance:
  • Candidates cannot see other candidates
  • Candidates cannot see interviewers
  • Interviewers do not see candidate details in the invite
Separate calendar invites are sent to:
  • Candidates
  • Hiring managers
  • Interviewers
Additional communication options:
  • Send personalized messages or preparation materials to candidates
  • Attach interview guides or notes (visible only to interviewers)
  • Optionally attach confirmed candidates’ CVs to the hiring manager’s invite
    • Sent 5 minutes before the interview starts

 

Add Candidates to Existing Group Interviews

You can:
  • Create a new Group Interview manually
  • Add candidates to an existing session at any time
  • Bulk-select candidates and assign them to a session
Once added, candidates automatically receive scheduling invitations.

 

Manual Creation Only

Group Interviews are not triggered automatically by ATS stage changes.
They must be created manually to allow recruiters to decide:
  • Whether a candidate should join an existing group
  • Whether a new session should be created
Supported creation paths:
  • Chat → Schedule Interview → Select Job → Select "Group Interview" → Select Candidates
  • Jobs tab → Select candidates → Schedule → Group Interview

 

Candidate Status Tracking

Track candidate progress across the scheduling lifecycle:
  • Scheduled (Confirmed)
  • Pending (Invited)
  • Canceled
Important differences from individual interviews:
  • Recruiters and hiring managers are not notified for every confirmation or cancellation (to reduce noise)
  • Candidates cannot request alternative times outside of available slots

 

Dynamic Messaging Based on Status

Communication is automatically updated based on:
  • Candidate status (confirmed vs pending)
  • Actions taken (scheduled, canceled, rescheduled)
  • Remaining slot availability
Examples:
  • If a slot is canceled and no alternatives remain:
    • Confirmed candidates are notified of cancellation
    • Pending candidates are told no slots are available
  • If other slots are still available:
    • Confirmed candidates can reschedule
    • Pending candidates can still choose from remaining slots
  • If the host reschedules:
    • All candidates are prompted to select a new slot
This ensures clear, timely communication without overwhelming candidates.

Setup Requirements

To enable Group Interviews:
  1. Go to Settings
  2. Open the Roles/Permissions tab
  3. For each user (e.g., recruiters, hiring managers):
    • Locate the Group Interviews option
    • Enable the checkbox
